What the coordinator is responsible for
A technical coordinator is one point of contact and one person who makes decisions. They make sure tasks aren't duplicated and that the stage, the venue and the suppliers speak the same language. Less chaos means fewer delays.

Brief and scope
We collect the agenda, the venue requirements and the list of suppliers. We agree who is responsible for what and how we communicate on site.

Set-up plan
We map out the order of work, deliveries, time slots and checkpoints. We catch bottlenecks before the event, not during it.

Technical rehearsals
We test microphones, presentations and switchovers. We agree a simple plan in case the programme changes.

Delivery
We keep an eye on pace, entrances and switchovers. The coordinator gathers information and makes decisions on the spot. Only the issues that genuinely need you are passed on to you.

Dismantling and wrap-up
We dismantle in line with the venue's rules. We finish efficiently and without stress.

Who is my single point of contact on the day of the event?
The technical coordinator. They gather information, keep the crew and suppliers on track and make operational decisions themselves. You don't have to settle every detail.
Does coordination include the set-up plan and technical rehearsals?
Yes. We draw up the set-up and dismantling schedule, the rehearsal plan and checkpoints for sound, lighting, multimedia, staging and streaming.
Do you help prepare speakers and their presentations?
Yes. We run quick tests, organise the files and agree when each item should appear on screen. That means fewer surprises on stage.
Can you coordinate several zones at once, e.g. the main room, the foyer and the livestream?
Yes. With several zones a coordinator is at their most useful. Crews don't get in each other's way and priorities are clear.
What does the cost of technical coordination depend on?
On the scale of the event, the number of zones and suppliers, and the time available for set-up. It also matters whether the project includes LED screens, streaming or recording.
Do you work across Poland?
